Receipts & Reports

Print, cancel, and audit Association receipts, and run operational membership, fundraising, fund, and volunteer reports.

Overview

Receipts provide payment evidence. Reports turn Association records into operational registers for membership, fundraising, funds, and volunteer activity.


Receipts

Receipts are generated by supported workflows such as membership fees, renewals, donations, sponsorships, grant tranches, and event registration payments.

The register shows:

  • Receipt number and type
  • Payer
  • Amount, currency, and payment method
  • Creation date
  • Print count
  • Issued or cancelled status
  1. Open Association → Receipts.
  2. Filter or search for the receipt.
  3. Select Print.
  4. Verify the association, payer, payment, and allocation details.
  5. Print or save the displayed receipt copies.

Each print is registered in the print count.

Cancel a receipt

  1. Select Cancel on an issued receipt.
  2. Enter the required cancellation reason.
  3. Confirm.

The receipt remains visible with Cancelled status for audit purposes.

Cancelling a receipt does not by itself refund or reverse the source payment. Use the source record's refund action when a financial reversal is required.


Available reports

Association Reports

  • Members register
  • Upcoming renewals
  • Outstanding fees
  • Donations register
  • Donations by campaign
  • Donations by donor
  • Fund balances
  • Receipt register, including cancelled receipts
  • Volunteer hours

Choose the report, apply the From and To date filters, then review the result. These dates currently filter the Members, Donations, and Receipts reports; the other report tabs use their own current or default scope. Select Print for a paper or PDF copy, or Export Excel to download the current rows.


Reconciliation checklist

  1. Compare receipts with donations, fees, sponsorships, grants, and registrations.
  2. Investigate cancelled or frequently reprinted receipts.
  3. Compare campaign totals with campaign targets.
  4. Review fund opening balances, donations, expenses, and ending balances.
  5. Follow up outstanding fees and upcoming renewals.
