Quotation
Guide to creating and managing Sales Quotations in RedERP.
Overview
The Quotation document is the first step in the sales process. It represents a formal offer sent to a customer, listing proposed products or services, quantities, and prices before confirming the order.
Purpose
- Send detailed price proposals to customers
- Record client requests and negotiations
- Convert accepted quotations into sales orders
Typical Workflow
Quotation → Sales Order → Delivery Note → Invoice
Dashboard / List View
Displays all quotations with the following details:
- Quotation Reference
- Customer Name
- Quotation Date
- Validity Date
- Status — Draft, Sent, Accepted, Rejected, or Expired
- Total Amount
- Conversion Status — Whether converted to Sales Order
Create New Quotation
To create a Quotation:
- Go to
Sales & Invoicing → Quotations → Create New - Fill out the following fields:
| Field | Description |
|---|---|
| Quotation Reference* | Auto-generated by system (editable if unlocked). |
| Customer* | Select existing or new client. |
| Quotation Date* | Defaults to current date. |
| Validity Date* | Date until the offer remains valid. |
| Location* | Branch or location related to sale. |
| Ledger* | Select the related sales ledger. |
| Currency* | Choose applicable currency. |
| Remarks | Optional internal or client notes. |
- Add product or service lines with quantity, unit price, and discount (if any).
- Click Save & Send to email or download the quotation.
Tips
- Once the customer approves, click Convert to Sales Order to continue the sales process.
- Set a Validity Date to encourage timely responses.
- Quotations can be revised or duplicated for quick resubmission.
